Volunteering Policy
This policy aims to establish clear guidelines for volunteers participating in volunteering activities, while supporting volunteers, i.e. Vodafone employees in contributing their time and skills to philanthropic, encourage employee engagement to give back to the community without interference with their work responsibilities. Guidelines include the incentive schemes and allocation and management of time spent volunteering.

Purpose of Regulation
This policy aims to encourage and support employees in participating in volunteering initiatives offered by Vodafone Egypt Foundation and facilitated through the "Yalla Sharek" platform by offering structured support and flexibility, employees are empowered to make a positive impact in their communities while ensuring operational alignment with the organization’s needs.
The purpose of this policy is to regulate and support employees in their volunteering efforts by:
- Counting a full or half day of volunteering as a Working from Office Day for employees during the quarter that they volunteered in.
- Educational volunteering activities to be counted from the total learning hours.
- Institutionalizing volunteer role and responsibilities according to volunteering scope and needed skills.
- Regulating application and selection processes and incentive scheme.
- Rewarding volunteers according to their efforts.
- Encouraging a balanced approach that benefits both the community and workplace productivity.
Definitions
Volunteering is defined as any activity undertaken through the "Yalla Sharek" platform, which connects employees with opportunities supported by the Vodafone Foundation by offering their skills for charitable purposes.
Types of Volunteering
Guidelines and Restrictions
Eligibility for “Off-Site Meeting” Day:
- Employees must seek their manager approval/alignment before participating in any volunteering activities during working hours.
- Employees may partake in up to four full working volunteering days, i.e. 8 hours (1 day per quarter), counted as off-site meeting.
- Employees may participate in travel missions up to 14 days upon manager approval.
- Any additional volunteering beyond the limit should be from employee's annual leave and will not be eligible for an offsite meeting day or should be done outside working hours.
Rewards and Incentives:
Educational Volunteering and Learning Hours Count
- Employees who participated in educational volunteering activities under Vodafone Foundation for instance: participating or offering training as needed.
- Educational volunteering can be counted towards the total learning hours required, 1 hour of educational volunteering equals 1 training hour.
- Vodafone Egypt Foundation will be acknowledging and celebrating other exceptional contribution on a case by case basis throughout the year during departmental meetings and events.
Champion Award
- Employees who volunteered in different initiatives (online and offline), showcasing exceptional and exemplary participation.
- Refer and engage up to 5 employees to volunteer in different activities.
- Employee contributing consistently in various volunteer roles and by exceeding the average volunteering hours of most volunteers and achieved highest volunteering points on Yalla Sharek Platform.
- Promote for volunteering activities internally and externally through personal social media platforms respective of existing Social Media Guidelines.
- Vodafone foundation team will assess and determine the list of champion volunteers periodically.
- Submit impact volunteer story and rewarded as Vodafone Egypt Foundation Best Volunteer.
- Awards distributed and celebrated end of each year on the Volunteer Celebration Day (December).
Foundation Ambassadors
- Foundation Ambassadors: Volunteers acting as Vodafone Foundation representatives (upon secondment at the end of each year/start of the new year).
- The Foundation Ambassador role is a one year role, wherein selected volunteers act as an official extension of the Vodafone Egypt Foundation team. Every year, 3–5 ambassadors are selected and are expected to maintain close communication with the VEF team, build a bridge and liaison between VEF team and employees to offer clarifications regarding policies, SOPs, events, YallaSharek onboarding and pointing system and rewards.
CEO Award
- Vodafone Egypt Foundation Head will support outstanding volunteers and provide HR with the Volunteering stories that will be nominated to the CEO Award.
Vodafone Egypt Foundation will be acknowledging and celebrating other exceptional contribution on a case by case basis throughout the year during departmental meetings and events.
Application Process and Volunteering Operations
- Eplatform to qualify for “off-site meeting” day.
- Employees are required to fulfill the volunteering requirements and pass the application process through Yalla Sharek.
- Selected employees planning on spending a full day (8 hours) of volunteering are required to submit the day as “Off-site Meeting” through this link, upon manager’s approval.
- Post volunteering, Vodafone Egypt Foundation will compile volunteers’ volunteering hours and points to qualify for mentioned rewards and submit Educational Volunteer Hours to the Vodafone Learning and Development Team to count towards yearly Learning Hours.
- Transportation and travel and accommodation costs, where required, are covered and provided by Vodafone Foundation upon authorization of the Head of Vodafone Egypt Foundation. Employees must apply and log their volunteering activities through the “Yalla Sharek”.
Compliance and Accountability:
- Employees are expected to adhere to this policy’s guidelines and ensure transparency in reporting their volunteering hours.
- Employees are expected to adhere to Vodafone Foundation’s Standard Operational Procedure and Code of Conduct.
- Employees are expected to apply to all volunteering activities through Yalla Sharek Platform and log volunteering hours on the system when relevant.
- The organization reserves the right to verify volunteering participation through the “Yalla Sharek” platform.
- Vodafone Egypt Foundation reserves the right to limit volunteers’ participation in the case of volunteering requirements are not met.
Consequences for Non-Compliance
False Reporting
Any attempt to falsify volunteering hours or activities will result in disciplinary action, which may include revocation of the Off-site meeting day and further investigation under the organization’s code of conduct.
Unauthorized Absences
Logging an Off-site meeting without proper approval or verification of volunteering activity will be treated as an unauthorized absence and may result in disciplinary action.
